CHCV Job Description

Job Title:                           Program Operations and Data Manager

Position Classification:       Non-exempt

Employment status:           Full Time

Reports to:                        Executive Director (ED)

Job Summary: This position will work closely with CHCV’s ED, other staff, and volunteers to 1) recover and distribute food from our donor partners to our recipient site partners, 2) maintain our facilities, and 3) manage data collection, analysis, and reporting.

Essential Functions of the Job:

1)    Facilities Operations and Maintenance

  • Maintain the infrastructure of our storage and food handling facilities by working closely with the volunteer Facility Maintenance Team, teaming with the Facility Operations & Food Recovery Assistant (FO&FRA), and by performing maintenance directly when needed.

  • Collaborate with the FO&FRA on general upkeep, cleaning, and organization of CHCV’s facility.

  • Support FO&FRA to ensure all supplies are regularly maintained and inventoried. Routinely clean and sanitize tools, supplies, and vehicles.

2)    Food Operations – Recovery/Collection and Handling/Distribution

  • Support the Executive Director (ED) with and take part in surplus food collection, sorting, storage, and distribution of recovered food from local farms and food producers, including engaging volunteers throughout.

  • Support ED in communications with farm and recipient partners and volunteers.

  • Work with ED to manage, instruct, and motivate volunteers involved with all aspects of the program operations.

  • Oversee volunteers in packing and grading produce for distribution to recipient partners, maintaining high food safety and quality standards.

  • Monitor food operations to ensure efficiency, accuracy, safety, excellent customer service, coordination with recipient sites, and alignment with organizational goals.

  • Ensure food safety, quality control, and proper documentation are consistently maintained.

  • Review and use operational data to support continuous improvement and reporting of food operations.

3)    Data Management and Utilization

  • Assist in supervising data collection activities performed by volunteers.

  • Conduct quality control, analysis, and reporting of weekly, monthly, quarterly, and yearly operational data.

  • Maintain accurate, well-organized data systems and documentation to support partner tax and informational reporting, funder requirements, and organizational learning, with assistance from the FO&FRA.

4)    Other Duties

  • Additional responsibilities/job duties as assigned by the ED.

  • Occasional work on fundraising projects or other administrative activities to support the full staff team and the overall organization’s work.

Demonstrated Skills and Abilities:

  • Strong organizational skills, attention to detail, and demonstrated ability to follow and internalize specific instructions and processes in a fast-paced environment.

  • Possess an understanding and appreciation of the local food system, healthy eating, and waste reduction.

  • Proven ability to effectively communicate with a wide range of audiences in various settings both verbal and written.

  • Proficient in Microsoft Office and Google Suite software, including Excel, and experience with pivot tables. Demonstrated skill in creating documents, spreadsheets, and organizing records and data.

  • Demonstrated knowledge of local produce and requirements for food handling and storage.

  • Ability to drive a pickup truck and a mid-size cargo van.

Education and Experience:

  • High school diploma or equivalent.

  • At least 1 year supervising or coordinating the activities of others.

  • Valid US driver’s license, clean driving record, and reliable transportation required.

Location and Physical Requirements

  • Most of the work will take place at our facilities in Berlin, VT, and around Central Vermont, with the opportunity for a small amount of remote work.

  • This position is physically demanding and requires manual labor. Must be able to repeatedly lift 50+ pounds as well as frequent bending, twisting, and squatting. In addition, the ability to work on uneven surfaces and a variety of terrain is essential.

  • The role involves regular outdoor work in unprotected environments and extended exposure to a range of weather conditions.
